E-forms makes data analysis eaier
AC engineering repair projects, which can span 2 to 3 years, involve a large volume of documentation, including project acceptance sign-offs and maintenance contracts. These tasks were previously handled on paper by assistants. Technicians had to carry specific documents for each case during on-site services, such as construction progress records and maintenance forms. The paper documents were prepared in triplicate, signed by the customer upon task completion, with one copy left with the customer and the other two brought back to the office for documentation.

Today, maintenance tasks are assigned by managers with digital forms attached. For construction projects, engineers create their own tasks based on the sites they oversee. Data is collected in real time through digital forms. When reaching a milestone for sign-off, all historical data can be exported at once to support customer payment requests.

While Zhi Bang HVAC serves customers nationwide, managing attendance and tasks was a major challenge due to employees frequently working onsite. After adopting ServiceJDC, engineers can now check in on location to report task status. Managers can monitor project progress and on-site reports in real time through the “Task List” page, greatly streamlining task management.

Zhi Bang HVAC also integrates attendance management for both in-house and on-site staff through ServiceJDC, covering check-in, check-out, and leave and overtime applications. With monthly attendance reports readily available, the accounting team can easily and accurately calculate payroll.
